Who we are
Sparky Study Notes is a business name of Mohammed Razak, who is the "data controller" for the details you give us, registered with the Information Commissioner's Office (ICO) under registration number ZC285809. Address for service: 32 Thornhill Road, Coventry, CV1 4HR. Contact us about anything in this notice at sparkystudynotes@gmail.com.
What we collect
- When you sign up: your name, email address, phone number (optional), which course you're on (optional), whether you agreed to marketing, and the dates you signed up and last visited.
- If you join the mailing list (the “Get new notes and exam tips from Sparky” box on our free notes pages): your email address, which page you joined from, and when.
- Visit counts: which page was viewed, when, and which website sent you here (for example Google or Instagram). We count each visitor once a day using a scrambled code made from your IP address and browser with a secret that changes daily, so it can’t be traced back to you or linked across days. Your IP address itself is never stored, and nothing is stored on your device.
- If you asked for your results by email (possible until 22 October 2026, when it was replaced by the scores kept in members' accounts): your name and email address, which paper you sat, your score, and the list of topics you got wrong. We keep that copy so you can ask us for it again and so we can see which topics students find hardest.
- When you use Ask Sparky: the questions you type or say, and Sparky's answers. These are stored anonymously (not linked to your name or email) so we can improve the notes and build the FAQ. To keep to the question limits (10 a day, and 1,000 over your 12 months plus any top-ups) we count your questions against a scrambled code that stands in for your email address, so the counts never hold your address itself.
- When you comment on one of our Instagram posts, or message us on Instagram: we read the comment or message, and the Instagram account it came from, only to send you the notes page you asked for in a direct message. To do that we ask Instagram whether you follow @sparkystudynotes. We don't store your username, your account number or your messages: all we keep is a daily count of how many notes pages were sent.
- When you're a member, your study record: which notes you've opened and read to the end, where you stopped reading, which lessons you've played, your test and exam scores, which notes sections your wrong answers point to (not the questions themselves or the answers you picked), how the three-a-day drill has gone, and which days you studied. It's kept with your account so your dashboard shows the same progress on your phone and your computer.
- When you're a member, the devices you're logged in on: for each phone or computer, the kind of device and browser (for example "iPhone · Safari"), when you logged in on it and when it was last used. We keep this so an account works on up to three devices, and so you can see them and sign them out on your Account page. The full details your browser sends are never stored. A device comes off the list when you log out on it, sign it out, or log in on a fourth.
- On your device: your browser remembers your Ask Sparky chat for the current visit, a few display choices, the book tabs you've ticked and any exam dates you put in. Those stay on your device only. We never receive them, and clearing your browser data clears them. The cookies and storage page lists every item.
Why we use it, and our lawful basis
- To email you your test or exam results with the sections and book pages to revise, because you asked us to. Lawful basis: legitimate interests (you requested it).
- To show your progress on your dashboard and point you at what to go over, as part of the access you bought. Lawful basis: contract.
- To give you access and email you the link, because you asked us to. We may also email you important updates about the site itself, like a new module being added. Lawful basis: legitimate interests (running the site you signed up for).
- To email you about Sparky Study Notes (new lessons, new practice papers and site updates). We do this only if you ticked the optional marketing box. Lawful basis: consent. You can withdraw it at any time by replying "stop" or emailing us. Every marketing message will tell you how to opt out.
- To send you new notes and exam tips, if you joined the mailing list. That box is only for these emails, and joining it is your consent. Lawful basis: consent. Every email has an unsubscribe link, and you can also email us to come off the list.
- To send you the notes page you asked for on Instagram, because you commented or messaged to ask for it. Lawful basis: legitimate interests (you requested it).
- To count visits, so we know which pages people use and where they find us. Lawful basis: legitimate interests (running and improving the site); no cookies, and nothing that identifies you is kept.
Access to the site doesn't depend on agreeing to marketing.
Who else handles it
- Netlify: hosts the website and stores the sign-up details.
- Resend: sends the email with your link, and your results email if you ask for one.
- Anthropic: provides the AI behind Ask Sparky. It receives your question text, never your name or contact details.
- Cloudflare: stores the video lessons and sends them to you when you press play, using a link that works for a few hours only. It receives the request for the video file, not your name or contact details, and sets no cookies.
- Meta (Instagram): carries comments and direct messages on Instagram, under Meta's own privacy policy. We read only what's needed to reply to you.
- Stripe: takes your payment when you buy access. Your card details go to Stripe, never to us.
Some of these providers may process data outside the UK. When they do, they use the legal safeguards UK law requires. We never sell or rent your details.
How long we keep it
Results you asked us to email are kept for as long as the site runs, or until you ask us to delete them. We keep your sign-up details for as long as the site runs, or until you ask us to delete them. If you withdraw marketing consent we'll stop marketing to you straight away. Mailing-list addresses are kept until you unsubscribe, or for 2 years after you last joined, whichever comes first. Visit counts are kept as daily totals; the daily codes are discarded at midnight. We'll also delete sign-up details of anyone who hasn't visited for 2 years. Your study record is kept while your access lasts and for up to 24 months after it ends, then deleted. If you delete your account, everything goes except the record of what you paid (the payments, any refunds and the cancellation confirmation), which tax and consumer law require us to keep for six years after the end of the financial year.
Your rights
As a member you can do two of these yourself, any time, from your Account page: Download my data gives you a copy of everything we hold about you, and Delete my account deletes it.
You can ask to see the details we hold about you, correct them, delete them, or object to how we use them, and you can withdraw marketing consent at any time. Email sparkystudynotes@gmail.com and we'll respond within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
